STL Members Area - Privacy Notice
1. Purpose of this notice This privacy notice explains how personal data is processed when using the STL Members Area. The members area is used to provide secure access to member-only pages, documents and related functions.
2. Data processed The members area may process the following personal data:
  • username
  • password authentication data
  • first name and last name, if stored in the user account
  • organisation, laboratory, working group, committee or membership information
  • read and write permissions or user role information
  • login status and session information
  • last login timestamp, if enabled in the system
  • technical security data necessary for access control
3. Why data is processed Personal data is processed for the following purposes:
  • to authenticate users during login
  • to keep users securely logged in during a session
  • to control access to protected member-only pages and documents
  • to display the correct user-specific menus and permissions
  • to maintain the security and integrity of the members area
  • to support administration of user accounts and access rights
4. Legal basis The processing is carried out for the operation and security of the members area and for providing authorised users with access to protected content. Depending on the relationship with the user or member organisation, the legal basis may include contractual necessity, legitimate interests, membership administration or another applicable legal basis.
5. Session cookie The members area uses a strictly necessary PHP session cookie, usually named PHPSESSID. This cookie is required to keep users logged in and to protect access to member-only pages and document downloads.

6. Who can access the data Access to personal data is limited to authorised administrators or authorised persons who require access for user administration, technical support, security, maintenance or access-control purposes.
7. Data retention User account data is kept for as long as the account is required for access to the members area. Login or access-related data may be kept for security, administration or audit purposes as required by the organisation.
8. Data sharing Personal data from the members area is not used for advertising or marketing tracking. Data is only shared where necessary for operation, administration, legal compliance, security or authorised organisational purposes.
9. User rights Depending on applicable data protection law, users may have rights to:
  • request access to their personal data
  • request correction of inaccurate data
  • request deletion of data where applicable
  • request restriction of processing
  • object to certain processing activities
  • contact the responsible organisation about data protection questions
